Internship SCS 399 Information Packet
The General Studies Degree Program allows students to use experiential learning as an internship under the supervision of the General Studies Internship Coordinator. The experience must be relevant to the student's academic and career plan and contain tasks that will allow for higher level skill-building and critical thinking. The internship should be tailored to the unique needs and interests of the student and towards fulfillment of the student's meaningful future plan. Internship - "An internship is any carefully monitored work or service experience in which a student has intentional learning goals and reflects actively on what she or he is learning throughout the experience" (True, 2002).
Who is eligible?
A student must be pursuing a degree in General Studies, have completed English W131, and be in good academic standing (2.0 GPA or above) to participate in an internship.
Current employment cannot apply for internship credit unless students are assigned to work on documented special projects that are different from their work responsibilities.
The guidelines for the student's internship with an organization are as follows:
Fall and spring
- For a 3-credit hour internship the expectation is the student will invest 150 hours or 10 hours per week for 15 weeks.
- For a 6-credit hour internship the expectation is the student will invest 300 hours or 20 hours per week for 15 weeks.
- For a 3-credit hour internship the expectation is the student will invest 150 hours or 12.5 hours per week for 12 weeks.
- For a 6-credit hour internship the expectation is the student will invest 300 hours or 25 hours per week for 12 weeks.
How do I enroll?
The General Studies Internship credits can only count in general electives, therefore to ensure that you are eligible for the credits you must either, check with your General Studies advisor or complete a short survey by visiting the General Studies Internship Interest Form.
Students should then find and confirm their internship placement and submit the Internship Application (Form A). It is highly recommended (though not required) that a student identify an internship, apply to the internship site, and submit the Internship Application form at least 3 weeks in advance of the instruction start date for the semester of the internship.
Call (317) 278-7600 to set up an appointment with an advisor. A completed copy of the Internship Application Form must be submitted at or before this meeting. You will then be authorized to register for the internship class (SCS-G399).
Responsibilities of the Student
Identifying the internship site.
Students should identify their own internship placement, related directly to their professional interest and goals. Students must submit an Internship Application form and have the internship approved by the Internship Coordinator before the start of the semester. Employers sometimes advertise internship positions on job sites. These may or may not meet the requirements for a credit internship. Please make sure the internship site and the Site Supervisor is aware of and will comply with the requirements for a SCS-399 credit internship (see Responsibilities of the Site Supervisor). SCS-399 internships must be approved by the internship coordinator.
The Internship Coordinator keeps a list of available or upcoming internship opportunities, with desired qualifications and application procedures and deadlines. Students may apply for available internships by submitting resume and cover letter to the General Studies Internship Coordinator who will forward qualified applicants to the internship site supervisor. Applying to the internship site.
Most internship sites have a formal internal application process (resume, cover letter, and interview) with deadlines. If the internship site has a formal application process, it is the student's responsibility to apply in a timely manner so that decisions may be made by the internship site in advance of registration dates for that semester. Once the student has been notified of his/her acceptance by the site, the SCS-399 internship application needs to be submitted.
Deciding what is to be learned.
The student should consider what type of environment is desired and what the learning outcomes will be. The learning outcomes and tasks should be agreed on in consultation with the internship site supervisor, and the learning outcomes form (Form C) must be submitted and approved by the Internship Coordinator before the internship begins.
Collaborate with site supervisor.
Once an internship site has been selected (or the student has applied to the site and been accepted), the student will work with a professional at the site who will act as site supervisor. The student and the Site Supervisor will develop various projects ⁄ activities that the student will pursue to accomplish the defined learning outcomes. The student and Site Supervisor will also complete the work schedule to be followed, as well as handle any additional paperwork that may be required by the site.
Completing and submitting the SCS-399 Internship Application and Student Internship Agreement(Form A & B)
The student must complete and submit the application form and the student internship agreement form to the Internship Coordinator.
Students must first find and confirm their internship placement and submit the SCS-399 Internship Application form before registering. Once your SCS-399 Internship Application form has been submitted and approved by the Internship Coordinator, the student will be given permission to register for the class.
Joining and actively participating in SCS-399. The course is online. Internship students should consult with the Internship Coordinator regarding the internship site, learning outcomes, required forms, deadlines, and course-related submissions. Course contact is through the Oncourse System.
Responsibilities of the Internship Coordinator (Renee Betts, IUPUI General Studies)
Conducting an orientation session.
Throughout the year, the Internship Coordinator will conduct orientation sessions for students interested in doing an internship. Students interested in an internship during the upcoming academic term should participate in one of these sessions. Orientation dates and times will be announced on the General Studies listserv.
Approving the learning outcomes.
The Internship Coordinator will ensure that the student's learning outcomes are realistic with regard to what the student hopes to accomplish, the time allotted, and any limitations inherent within the internship site itself.
Monitoring the student's progress.
The Internship Coordinator is responsible for monitoring the students' progress toward achieving their learning outcomes and communicating with students about their progress.
Serving as liaison between General Studies and the Internship Site.
The Internship Coordinator will request feedback from the Site Supervisor regarding the student's performance. This feedback may derive from site visits and⁄or telephone, written, or e-mail contact depending on the schedules of the coordinator and Site Supervisor and the particular needs of the student.
Evaluating the student's performance.
The Internship Coordinator is responsible for managing the online learning environment (Oncourse). The Internship Coordinator will collect the student's assignments, student's evaluation forms, and assigning a grade. Feedback from the site supervisor is used to determine the student's final grade.
The Site Supervisor shall be someone in a professional position at the internship site who is able to make commitments on behalf of the organization and who will work closely with the student during the course of the internship, providing sound professional judgment and mentoring in the skill areas assigned. The Site Supervisor should set up a regular work schedule for the student and assign various projects and tasks. The student's work assignments should represent professional-level activities. Site supervisors are required to review and sign the Internship Site Agreement (Form D).
Providing guidance and feedback.
The Site Supervisor should provide the student with a thorough orientation to the site and should meet regularly with the student to provide feedback and assess performance. The Site Supervisor is also responsible for helping integrate the student into the organization's work culture and daily operations.
Maintaining contact with Internship Coordinator.
While it is the Internship Coordinators responsibility to contact the Site Supervisor during the internship, the Site Supervisor should not hesitate to contact the Internship Coordinator when the situation warrants it.
Completing a final evaluation form.
To assist the Internship Coordinator in assigning the student a grade, the Site Supervisor will be asked to complete and submit a final supervisor evaluation of the student's performance during the internship.
Evaluation of the Student's Performance and Experience
There are several instruments used in evaluating a student's internship performance and experience. The combination of methods used for evaluation will depend on the student's established internship goals, learning outcomes, and assignments. All students, however, are required to submit to the Internship Coordinator the following documents throughout the semester.
The forum allows for students to introduce themselves and their placements to build student interaction in the online environment.
Learning Objectives are statements that clearly define what students intend to learn during the semester. The objectives should help the student, the Site Supervisor, and the Internship Coordinator evaluate the learning progress throughout the internship as well as at the conclusion of the experience. Learning objectives should focus on select areas that you will be exposed to throughout the internship. The learning objectives are a collaborative effort between the student and the Site Supervisor. A minimum of three (3) Learning Objectives are required. The objectives must be submitted to the internship coordinator.
The following is an example of a goal—that is not a Learning Objectives:
- I want to work on Financial Documents
Example of a strong Learning Objective is:
- I want to improve my skills with Macy's financial software and learn how to monitor certain asset classes by shadowing my Site Supervisor, which will give me the ability to ask questions
The following is an example of a goal—that is not a Learning Objectives:
- I want to work with teenagers
Example of a strong Learning Objective is:
- I want to learn how to intervene effectively in the lives of at-risk youth, by shadowing my Site Supervisor who will help me learn to identify student need areas, plan intervention efforts, and document results.
The purpose of the time sheet is to help monitor student contact hours at the internship site. Students will keep track of intern hours on a monthly basis using the time sheet form. At the end of each month, Site Supervisors are to sign the sheets. Sheets should be turned in to the Internship Coordinator at midterm and again at the end of the semester.
Midterm Self Evaluation Form.
The purpose of the self-evaluation is to encourage students to think about themselves, and their work performance in a constructively critical and accepting frame of mind. It is suggested that students attempt to look at themselves, their supervisor, as well as their agencies point of view, and make honest comments.
Midterm Discussion Forum.
The Discussion Forum provides an opportunity for fellow interns to collaboratively reflect on and explore in depth a topic relating to the professional work environment. The discussion topics will require you to read a short article that relates to the topic. In an effort to help facilitate a meaningful discussion, students will have a total of 1 discussion forum with 3 postings (students and two responses from classmates). Students must respond to a minimum of two of their classmates post.
Full credit for one thoughtful original post and at least two substantive replies to the discussion board posts of classmates. A "substantive reply" is one that adds significantly to the discussion by supporting and building on others' comments, suggesting alternative solutions, pointing out problems, or constructively disagreeing. Students will not receive credit for repeating what someone else has said.
Final Reflection Paper.
The Reflection Paper should be a minimum of 2,400 word (for 6 hours) or 1,200 word (for 3 hours), typed and double-spaced, with Arial text, 1" margins, and 12 point font. The final paper must address the topics outlined in Oncourse. Use "headings" to divide each reflection topic within your paper.
The final evaluations are assessment tools for the Site Supervisor and student to provide their feedback regarding the internship experience. The site supervisor is strongly encouraged to discuss the evaluation with the student.
